This Privacy Policy describes how Sumarii (“we,” “us”) handles personal information when you use sumarii.com, app.sumarii.com, and related services (the “Service”).

Who we are

The operator of Sumarii processes personal information for the Service. For privacy inquiries, use the contact details at the end of this policy.

Information we collect

We collect information you provide and information generated by your use of the Service, including:

  • Account and workspace details (such as name, email address, organization name, and authentication identifiers).
  • Meeting content you submit or generate: audio, transcripts, minutes, chat messages, templates, vocabulary, and related metadata.
  • Usage and technical data (such as device type, browser, IP address, logs, and feature usage) needed to operate and secure the Service.
  • Information you send when you contact support or respond to surveys.

How we use information

  • Provide transcription, meeting minutes, insights, chat, exports, and other product features.
  • Manage subscriptions, trials, invoicing, and payment processing.
  • Authenticate users, enforce workspace access controls, detect abuse, and protect the Service.
  • Respond to inquiries and provide customer support.
  • Maintain, troubleshoot, and improve reliability and usability. We do not use your meeting content to train AI models.

We handle personal information in accordance with Japan’s Act on the Protection of Personal Information (APPI) and other applicable laws. We obtain consent where required and process data based on contract performance, legal obligations, and legitimate interests in operating a secure SaaS service.

Service providers

We use trusted providers to run the Service. They process data only for the roles below and under contractual safeguards:

  • Database, authentication, and application object storage
  • Audio and media file storage
  • Transcription, meeting notes, and chat (via API)
  • Transactional email
  • CDN and edge security for web delivery

Retention

We retain personal information while your account or workspace is active and as needed to provide the Service, comply with law, resolve disputes, and enforce agreements. You may request deletion of account data subject to technical and legal limits. Backups may persist for a limited period after deletion.

Your choices and rights

Depending on applicable law, you may request access, correction, deletion, or export of personal information we hold about you. Workspace administrators may control member access and session data within their organization.

  • Request a copy of personal information we hold about you.
  • Ask us to correct inaccurate account information.
  • Request deletion of your account or specific content, where feasible.
  • Export session content from the product (docx, txt, srt, audio). PDF export is not available today.

Sign in with Google

If you choose Sign in with Google, we receive basic profile information from Google (such as your name, email address, and profile picture) to create and manage your Sumarii account. Google processes this according to Google’s Privacy Policy. We use this information only for authentication and account management, not for advertising or to train AI models. You can also sign up with email and password instead.

No AI training on your content

Audio, transcripts, minutes, and other meeting content you submit are not used to train our models or the models of providers we use for inference.

Security

We use technical and organizational measures such as HTTPS, encryption at rest, workspace isolation, and short-lived signed URLs for audio access. See our Security & trust page for more detail.

Children

The Service is intended for business users and is not directed to children under 16. We do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page with an updated date. Material changes may be communicated through the Service or by email where appropriate.
